What Is a Line Item?

Definition

A line item is a single row on a receipt, invoice, purchase order or budget that describes one product, service or cost. On a receipt, each line usually shows the item name, quantity, unit price and amount. Line items let you see exactly what you paid for, not just the total.

Key takeaways

  • On receipts and invoices, a line item names one product or service with its quantity, price and amount.
  • In a budget, a line item is one planned category of spending, such as rent or software.
  • Line-item detail lets you split mixed purchases, such as business and personal items on the same receipt.
  • Employers and FSA administrators often reject total-only slips because they can’t see the line items.

What is a line item?

Any document that lists more than one thing is made of line items. A grocery receipt might have 15. An invoice from a web designer might have three: design, development and hosting. A business budget might have 20, one for each type of cost. The total at the bottom is just the sum of the lines.

Line items on receipts and invoices

Here’s how the lines on a typical itemized receipt break down:

  1. 1Description. What the item is, sometimes with a product code.
  2. 2Quantity and unit price. How many you bought and the price of each.
  3. 3Line amount. Quantity times unit price, before tax.
  4. 4A personal item. The line you need to split out of a business claim.

On an invoice, line items often add a service date, hours worked or a discount. A purchase order uses the same structure, which is what makes it possible to compare an order, an invoice and a receipt line by line.

Line items in budgets

In budgeting, a line item is one row of planned spending: rent, software subscriptions, marketing, travel. A line-item budget sets an amount for each row and compares it with what you actually spent. It’s the simplest way to see which costs are drifting. See budgeting for how to set one up.

Why line-item data matters

1Split mixed purchases

Pull a personal item out of a business receipt so only the business part is claimed or deducted.

2Categorize correctly

One receipt can hold office supplies, equipment and meals. Line items let each go to its own category.

3Pass policy checks

Employers look for alcohol, minibar or personal charges, and they can only see them in the line items.

Worked example

On the receipt above, the kids art set is personal. The business part is $142.47 − $18.50 = $123.97 before tax. Tax on that share is $123.97 × 7% = $8.68, so the business claim is $132.65. The personal share is $18.50 + $1.29 tax = $19.79. Together: $132.65 + $19.79 = $152.44, which matches the receipt total.

Line items also help when one purchase covers several clients or projects. With cost allocation, you can assign each line to the client it belongs to instead of guessing a percentage.

Frequently asked questions

What is a line item on a receipt?

It’s one row describing a single product or service you bought, usually with its name, quantity, unit price and amount. A receipt with line items is called an itemized receipt. The lines add up to the subtotal, and tax, tips or fees are then added to reach the total.

What is a line-item budget?

A line-item budget lists each type of planned spending, such as rent, payroll or software, as its own row with a set amount. You compare actual spending with each line to see where you are over or under. It’s simple and common for small businesses and nonprofits.

What is a line item on an invoice?

An invoice line item describes one product or service you are billing for, with quantity, rate and amount. It might be hours of consulting, a product or a fixed fee. Clear line items help clients approve the invoice quickly and match it to their purchase order.

Can I split one receipt into several expenses?

Yes. If a receipt mixes business and personal items, or costs for different clients, split it by line item and assign tax in proportion. Keep the full original receipt with each part, so anyone reviewing it can see how the total was divided.
