The basics

What Goes Into an Expense Report

An expense report is a summary of business spending over a set period, submitted for reimbursement, client billing or bookkeeping. It lists each expense with its date, vendor, category and amount, totals them at the end, and attaches the receipt behind every line.

Building one by hand is where the time goes: finding the receipts, typing each line, checking the math. Manage Receipt skips that step, because every receipt you scan is already a finished line waiting to be added to a report.

New to expense reports? Our glossary covers what an expense report is, what to include and common reasons one gets rejected.

What every line needs

How it works

How Automated Expense Reports Work

Three steps, and none of them involve typing an amount.

  1. Step 1

    Scan receipts as you spend

Snap a supplier or fuel receipt with your phone, upload an image or PDF, or forward an invoice from your inbox. AI reads the vendor, date, amount and tax.

  2. Step 2

    AI builds your expense report

Create a report for a month, a job or a client and add the receipts that belong in it. Every line is already filled in and categorized, with its receipt attached.

  3. Step 3

Export and share as PDF or Excel

Send it to your accountant, client or finance team, then follow it from Submitted to Paid.

Features

Expense Report Features

Expense reporting software for small businesses and individuals who don't need approval workflows.

Auto-categorization

Every expense lands in a category as it's scanned, so your report is grouped before you open it.

Date and category filters

Narrow your receipts to a month, a job or one type of spending, then add only what belongs in the report.

PDF and Excel export

Export a PDF to send as it is, or an Excel file your accountant or bookkeeper can work in.

Receipt on every expense

The original receipt stays attached to its expense, so nobody has to take your word for it.

Share and track status

Send the report to a client for billing, an accountant for the books or a team member for reimbursement. Each report shows as Draft, Submitted or Paid, so you know what's still owed.

Foreign spending included

Receipts in other currencies are converted to your home currency by the multi-currency receipt scanner before they reach the report.

Expense Report App vs Excel Template

An expense report template costs nothing, but you still do the work: typing each line, hunting for receipts and checking the math. For a business filing reports every month, that time adds up. An expense report generator builds the same document from receipts you've already scanned.

Contact us

How do I create an expense report?

Scan your receipts as you spend. In the mobile app or the web app, create a new report, give it a title and add the receipts that belong in it. Each line is already filled in and categorized, so you only review it and export it as a PDF or Excel file.

What should a business expense report include?

Each expense with its date, vendor, category and amount, a total for the period, and the receipt behind every line. Add the business purpose and the client or project when you're billing a client or claiming reimbursement.

Can a small business use this for monthly bookkeeping?

Yes. Build one report per month from that month's receipts, export it to Excel and send it to your accountant or bookkeeper, with every receipt attached to its line.

Can I export to Excel?

Yes. Export a report as an Excel file to edit or hand to your accountant, or as a PDF to send as it is.

How much does the expense report app cost?

The iPhone and Android apps cost $0 for up to 100 receipts. The web app is on a paid plan. See pricing for current plans and limits.

Can I attach receipts?

You don't have to. Every scanned expense keeps its original receipt, and the receipt stays attached when you add that expense to a report.

Can I build a report for one client, job or project?

Yes. Create a separate report for each client, project or trip, name it, and add only the receipts that belong to it. Date and category filters help you find them.

Can I track whether a report has been paid?

Yes. Each report is marked Draft, Submitted or Paid, and you can filter your reports by status, so you can see what a client still owes.

Can I use Manage Receipt on the web too?

Yes. Sign in to the web app from any computer to upload receipts, filter them and manage your reports. The web app is on a paid plan. Scanning paper receipts with a camera works best in the iPhone and Android apps.

Is my data secure?

Your data is encrypted and protected by secure access controls. Manage Receipt never sells your information or uses it for advertising, and you can ask for your data to be deleted at any time. Read more on our Security and Trust page.
