What Is a Digital Receipt (E-Receipt)?

Definition

A digital receipt, or e-receipt, is a proof of purchase that exists in electronic form instead of on paper. It can arrive by email, text or app, or it can be a scan or photo of a paper receipt. The IRS accepts digital records as long as they are accurate, readable and easy to retrieve.

Key takeaways

  • E-receipts include email confirmations, in-app purchase records, SMS receipts and scans or photos of paper receipts.
  • The IRS accepts electronic records that are legible, complete and retrievable. Its rules for electronic storage systems are set out in Revenue Procedure 97-22; see the IRS recordkeeping guidance.
  • Digital copies solve the biggest paper problem: thermal receipts that fade to blank.
  • The main risks are deleted emails, closed accounts and images with no backup, so store receipts in one place you control.

What is a digital receipt?

A digital receipt carries the same information as a paper receipt: the vendor, date, items, tax, total and payment method. The difference is where it lives. Instead of a slip in your wallet, it sits in your inbox, an app or a folder. Many stores now offer to email a receipt at checkout, and anything bought online produces one automatically.

For a freelancer or small business owner, digital receipts are easier to search, impossible to fade and simple to attach to an expense report. But they come with their own problem: they get scattered across inboxes, apps and accounts.

Keep e-receipts and paper receipts together in one place with the Manage Receipt app.

Does the IRS accept electronic records?

Yes. The IRS has accepted electronic records for decades. Revenue Procedure 97-22 explains what an electronic storage system must do: reproduce the original accurately and completely, keep the images legible, and let you index, find and print any record on request. A phone app or cloud folder can meet those standards if you capture receipts properly and can pull them up when asked.

Digital copies still need to show everything the paper version did. A cropped photo that cuts off the date or total won’t help. And for travel, meals and gifts, you still need the business purpose; see substantiation.

Good to know

State tax agencies, insurers, warranty providers and FSA administrators may set their own rules. If you’re unsure whether to keep a specific original, such as a large asset purchase, keep both until you’ve checked.

Converting paper receipts to digital

Use this checklist each time you scan:

  • Scan the same day. Thermal paper can fade in weeks if left in a hot car or wallet.
  • Lay the receipt flat on a dark, plain surface with good light.
  • Capture all four edges, including the store name at the top and payment details at the bottom.
  • For long receipts, use a scanner that stitches multiple shots, or fold and take two photos.
  • Check that the date, items and total are readable before you throw anything away.
  • Add the business purpose and category while you remember them.
  • Back up to the cloud so a lost phone doesn’t mean lost records.

Organizing email receipts

Email receipts are digital already, but they’re mixed in with newsletters and personal mail. A few ways to tame them:

  1. Use one address for business purchases so receipts don’t land in a personal inbox.
  2. Create a filter or label for words like “receipt,” “order confirmation” and “invoice.”
  3. Forward receipts to your receipt app as they arrive, so everything ends up in one searchable place with categories.
  4. Do a monthly sweep of subscriptions and portals that don’t email receipts, and download the PDFs.

Risks of digital receipts

  • Deleted emails. Auto-delete rules and inbox clean-ups can wipe receipts you’ll need in three years.
  • Lost accounts. If you leave a job or close an app account, the receipts inside go with it.
  • Unreadable images. Blurry or cropped photos fail the “legible and complete” test.
  • No backup. A single phone or laptop is one accident away from losing years of records.

The fix for all four is the same: keep receipts in a dedicated system that you control and that backs up automatically, and keep them for the full retention period.

Frequently asked questions

Can I throw away paper receipts after scanning?

Generally yes for federal tax purposes, as long as your scans are complete, legible and stored in a system where you can find and reproduce them, as described in IRS Revenue Procedure 97-22. Check first if an employer, insurer, warranty provider or state agency asks for originals.

Are email receipts valid for taxes?

Yes. An email receipt is a valid record if it shows the vendor, date, amount and what you bought. Save the actual receipt rather than an order acknowledgment, keep it with your other records, and note the business purpose for meals, travel and gifts.

How do I store digital receipts?

Keep them in one place you control, such as a receipt app or a dedicated cloud folder, organized by year and category. Back up automatically, name or tag files with date and vendor, and keep them for at least three years after filing, or seven to be safe.

Is a screenshot of a receipt acceptable?

A screenshot can work if it captures the full receipt with the vendor, date, items, total and payment method. Partial screenshots often miss key details. Where possible, download the PDF or forward the original email, which is easier to verify than an image.
